How to cancel cheques

An overview of cancelling cheques in AccountsPrep, and the difference between deleting and cancelling.

You can cancel or delete a cheque from a batch entry whether it’s posted or in draft. You can also undo and restore a cheque that you cancelled.

📎NOTE: It's not possible to cancel a cheque if you already reconciled it with bank statement data.


How to access a batch entry

There are many ways you can access a cheque to cancel or delete it.

  • Banks > Cheques > Cheque Batches > draft or posted

  • Banks > Cheques > Cheque listing > unreconciled

  • Accounting > All batches > select the batch


Cancelling a cheque

  1. Go to the batch entry list.

  2. Click Edit.

  3. Tick the relevant lines and select 'Cancel Cheque'.

    You can select and cancel multiple cheques at once.

  4. The line will show as Cancelled.


Effects of cancelling a cheque

  • Cancelling a cheque simply removes it from the general ledger and your reports

  • It remains visible in the batch entry within the Account field

  • It also remains in the Cheques Listing with the Cancelled status

We facilitate this as some users prefer to have a complete list of cheque numbers in the system (cancelled or not) for their own record.


How to undo a cheque cancellation

If you mistakenly cancelled a cheque, you can restore it.

  1. Edit the line again and click the red Cancelled link in the Account field.

  2. You’ll be able to confirm or reject the cancellation.

  3. By clicking 'OK', it will free up the Account field.

  4. You can recode the transaction to the relevant account once again.


Deleting a cheque

To delete a cheque, click 'x' on the cheque entry you want to delete.

It will remove it from the general ledger (as per the cancellation process).

But it will also disappear completely from the batch entry and cheque listing altogether.
