Uploading Company Contacts, VAT and Category Codes

How to create and import your Customers, Suppliers, Categories and VAT codes for non-integrated companies.

AutoEntry companies not integrated with accounting software can create Customer, Supplier, VAT and Category codes in your Company Contacts and Manage Lists menus.

Creating Customers/Suppliers individually

To add a single customer/supplier to your account (a customer is shown in this example) please follow these steps:

  1. Navigate to the Company Contacts page from your company homepage.

  2. Click Add Customers/Suppliers at the top of the Customers/Suppliers tab.

  3. Give the Customer/Supplier a unique code and name, and click Add Customer/Supplier at the bottom to confirm.

Uploading Customers/Suppliers in Bulk

To upload a .csv file containing multiple suppliers/customers (suppliers are shown in this example), please follow these steps:

  1. Navigate to the Company Contacts page from your company homepage.

  2. Click Upload Suppliers at the top of the Supplier tab.

  3. Download the sample .csv file by clicking Sample CSV file of Supplier, or upload one you have already created by clicking Select CSV to Upload at the bottom.

  4. This file would need to be populated with unique codes and names, including Code and Description headings at the top of both columns.

  5. Once uploaded, the list of suppliers will then show on the Supplier tab, ready for you to allocate to your Purchase invoices!

Adding/Uploading VAT/Category Codes

You can follow the same steps as above in order to add individual VAT/Category codes to your company, or upload a list of multiple codes. The only difference being that you will need to access these pages by clicking on Manage Lists from your company homepage, rather than Company Contacts.

Unable to Upload Codes?

If you see the error message The file: xxxx.csv could not be uploaded. Header is not valid when trying to upload codes to your company, this is easily rectified!

This is caused by a simple formatting error which can be resolved by doing the following:

  1. Open the .csv or .xlsx file you wish to upload.

  2. Ensure that there headings on each column within the file titled 'CODE' and 'DESCRIPTION'.

  3. Upload the file to AutoEntry again.
