If you need to back up your data from AutoEntry, you can export and download your files manually. This includes all bills or invoices that you’ve uploaded to the system. You can proceed separately from the different folders. However, there’s no option available to bulk download from the product end.
If you need to back up your data via a bulk download, you need to contact the support team. The team can generate a .zip file including all your documents. Once ready, the billing user can then access that file from the Settings page and download it.
📎NOTE: You can only request the download of entire folders.
For example, you can't request the Archive folder within the Purchases invoices folder. If you need some purchase invoices, you’ll get all the files within the Purchases invoices folder. It will include all the files from the Inbox, Archive and Rejected folders. However, you can narrow the selection to a specific date range.
How to request a bulk download
Contact the Support team via web chat or email.
State that you need: bulk download multiple files from AutoEntry.
If you contact us via the chat, make sure the conversation transfers to an agent.
Include the following information in your request:
Billing user email
Company Names
Folders - ex: Purchases, Expenses folder, File management etc.
Date Range (Start and End MM/YY)
Once you provide all the details, the agent will be able to process your request.
📎NOTE: The time taken for your download to complete will depend on the number of files your request contains.
When the download is complete, the billing user will receive a confirmation email to confirm the file is ready.
The email will contain a link to the Invoice Downloads tab.
📎CAUTION: This download link will only be available for 7 days. Make sure to save the files to your local system within this period to avoid requesting the files again.
Download the zip file
Once ready, the account holder can access the file from the link in the email, or directly from the Settings page:
Click Settings on the left-hand menu.
Click Invoice Download.
Here you can see the companies, folders and date range requested for the download. The Status column will show Queued, In Progress, or Completed.
Click to download the .zip file.
The file will download automatically to your PC. You can then extract the data.
📎NOTE: You won't be able to open the .zip file directly from the AutoEntry page. You first need to download the compressed file and then open it from your desktop to extract the data.
