How to add or import cheques

Import cheques to AccountsPrep.

You can add cheques from the Cheques listing or Cheques Batches pages. You can then either add the cheques manually, or import a list via a spreadsheet.


Access the Add and Import buttons

There are several ways to access the features to add or import cheques:

The quickest access is from the Cheques listing page.

  • Banks > Cheques

  • Banks > Bank accounts > Cheques

  • Banks > Bank accounts > select the bank > Add cheques

You can also add or import cheques from the Cheques batches page which you can access from the Cheques listing page.


Add or Import cheques

You can either click Add Cheque Batch to add the cheques manually, or Import Cheques Batch to import from a file.

Add cheque Batch

The Add Cheque Batch button allows you to add the cheques manually and process them directly on-screen.

  1. When you enter a batch manually, two lines are created by default.

    The date will be based on the financial year end.

  2. Change the date as needed and enter the details for each line:

    • Cheque number

    • Details

    • Account

    • Tags

    • Tax code

    • Amount

  3. If needed, click Add lines to create more entries.

  4. Click the green Post button when you’re ready. Alternatively, click Save Draft.

📎NOTE: You need to allocate an account category and amount to be able to post the cheque batch. If you're not sure, you can save the batch as a draft and come back later to edit further. You can access the draft cheques from the Cheques Batches page.

Import Cheques Batches

The import allows you to upload a list of cheques in bulk from a file.

  1. From the Cheques listing or Cheques batches page, click Import Check Batch.

  2. From the import window, download the CSV template.

    The file has four columns: Date | Number | Details | Amount.

  3. Fill in the template making sure to follow the rules and tips given.

    📎NOTE: Alternatively, you can select Continue without import to enter the data directly on-screen.

  4. Once ready, make sure to save the file in the CSV format.

  5. Upload the file from the Choose file button and click Import.

  6. The Cheque batch (new) window comes up with the prefilled data.

    You can edit the existing details if needed.

    You need to select an Account category for each entry to be able to post the batch.

    The Tax code and Analysis tag are optional.

  7. Click the green Post button when you’re ready. Alternatively, click Save Draft.


What's next?

After you add or import a batch, it will show in the Cheques Batches page under the Posted or Draft tab.

You can go back to edit the draft batch and post it when you’re ready.

You can also edit batches that are already posted.

All posted cheques will show individually in the Cheques listing page. You can see from this page whether the cheques are reconciled or not.

You can reconcile your cheques the next time you process your bank statement.
