Edit an expense report (Approver)

How can the approver edit an expense report from the Review tab in AutoEntry.

The Approver permission doesn't give the option to edit a submitted report by default.

  1. Go to the Expenses Report folder, then the Review tab.

  2. Click View beside the report to open the Reports details page.

The fields in the Report's view in the Review tab aren’t available or greyed-out.

The approver needs to ask the admin user to add the Edit before approval option to their permission settings.


Edit Before Approval permission

The admin user who has access to the People's tab can edit the user's permission and add the Edit Before Approval option.

The Edit Before Approval is available together with the Approver permission in the Permission tab.

The Edit Before Approval permission will activate the fields in the Review tab.

The approver with that permission can then edit the report.

📎NOTE: The Edit before approval option is only available to Approvers and the Review tab. It isn't available to users with the submitter permission.


Editable fields

Once the approver has the permission to edit, he can change the following from the Reports details page.

  • Change the report's Name

  • Amend the Date

  • Add Notes

  • Click View and change the details for each expense document

  • Change the Category from the Category column

  • Create a report and re-assign from the Report column

  • Click the Bin icon to remove an expense from the report

The fields in the Reports page are available.

📎NOTE: The fields are only available while the report's status is pending. If the approver rejected the report, the fields aren’t available to edit anymore as it’s accessible by the Submitter.


📎NOTE: There’s currently a known error when trying to remove an expense or when trying to edit the fields.

As an alternative, the approver can reject the report and the Submitter can re-open it and edit it to remove the expense.
