Add or upload VAT and Category Codes

How to create and import your Vat and codes in AutoEntry - non-integrated companies.

You can add your VAT and Categories from the Manage Lists section.

  1. Click Home from your account to view your list of companies.

  2. Select the relevant company from the list.

  3. Click the Manage Lists submenu.

    📎NOTE: You need the Company Settings permission to access the submenus and the Manage Lists section.

  4. The manage lists section includes four tabs, including one for Vat Codes and another one for Categories.

  5. You can then either Add or Upload your Codes or Categories.

📎NOTE: The option to add codes and categories is only available if you don't have any integration with an accounting software.

The following message will show:

Warning!
Changes to codes are not allowed as the company is connected to Accounting Software

If you have an integration, the codes will populate automatically.


Vat codes

Add a single VAT code

  1. From the Manage list section, access the Vat codes tab.

  2. Click Add Code.

  3. Fill in the required fields:

    • VAT CODE

    • VAT DESCRIPTION

    • RATE (%)

Upload multiple VAT codes

  1. From the Manage list section, access the Vat codes tab.

  2. Click "Upload list of Vat codes".

  3. Download and fill in the template.

    Make sure to keep the original headers. (Description / Code / Rate) to avoid any errors.

  4. Once ready, click Select CSV to upload.

Troubleshooting errors

Header is not valid

If you see the error message, this means the file format is incorrect.

The file: xxxx.csv could not be uploaded. Header is not valid

  1. Open the .csv or .xlsx file you wish to upload.

  2. Download and open the template and compare it with your file.

  3. Ensure that the headings on each column align with the template. (Description / Code / Rate).

    • TIP: We advise you to enter your data into the template provided.

  4. Upload the file to AutoEntry again.

This looks like a network error

If you see the error message below, this means you need to review and remove duplicates from your files.

The file xxxx.csv could not be uploaded. This looks like a network error, the endpoint might be blocked by an internet provider or a firewall.

Cancel the upload and remove any duplicates from your file, then try re-uploading.


Categories

Add a single Category

  1. From the Manage list section, access the Categories tab.

  2. Click - Add category.

  3. Fill in the required fields:

    • Category Code

    • Category Name

Upload multiple Categories

  1. From the Manage list section, access the Categories tab.

  2. Click - Upload list of Categories.

  3. Download and fill in the template.

    Make sure to keep the original headers. (Description / Code)

  4. Once ready, click Select CSV to upload.
