Permission Templates

How to use the template feature to assign sets of permissions to users in AutoEntry.

You can use Permission Templates to save different sets of permissions. You can then assign these set permissions to different users later on. This saves you time manually selecting the individual settings each time you add a new user.

There are default permission templates available to choose from, but you can add more.


Create a permission template

  1. Click People, then click the pencil icon to edit a user.

    1. Under Set up Access for, select Account or Company access.

    2. In the Permissions tab, set up the folders and sections to grant access to.

  2. Once ready to save the current settings, click Permissions Templates.

  3. Assign a name.

    Examples: Approver and Company settings, File management only etc.

  4. Click Save.

The template appears on the list with the other default templates.



Apply a permission template

  1. Click People, then click the pencil icon to edit a user.

  2. Click Permissions Templates on the Permissions screen.

  3. Click Apply next to the template.

  4. Permissions apply automatically.


Manage templates

📎NOTE: Once you've applied a template, there’s no visibility on the template assigned to a user. Always check a user's settings. Using templates only allows you to apply a set of permissions all at once. You can always customise the user's settings after applying a template.

Copy

To copy a template:

  1. Select a user whose permissions to copy.

  2. Follow the same steps used to create a new template.

⚠️ CAUTION: This will modify the selected user's permissions at the same time. Check assigned permissions and reapply the original template if necessary.

Edit

To edit a template:

  1. Edit a user with permissions to edit.

  2. Update permissions on screen as required.

  3. Click Permission templates.

  4. Enter the exact template name to edit and save.

The new selection replaces the existing template with the same name.

⚠️ CAUTION: The new selection will also apply to the user selected for editing the template. Check assigned permissions and modify if necessary.

📎 NOTE: Editing a template doesn’t affect users previously assigned to that template, only the current user.

Delete

You can delete custom templates but not default templates.

  1. Open a user profile.

  2. Click Permission templates.

  3. Click the trash icon to delete a template.

The template disappears from the list automatically.
