How to set and manage your mileage rates from within Manage Lists.

Before you can add a mileage expense you need to set your mileage rates from within Manage Lists.


Locate your Mileage Rates

  1. Click Home then click Manage Lists.

  2. Click the Mileage rates tab.


Here you can see a list of your existing milerates. On this page, you can:

  • Add an expense category

  • Upload a list of Mileage Rates to replace the existing list

  • Hide mileage rates so they don't appear as option

  • Delete milage rates that you want permanently removed from your company

  • Adjust the rate amount

  • Adjust the rate to be in kilometres or miles


Add mileage rates

You can easily set and add more mileage rates to your list.

Add a Mileage Rate

  1. Click Add a Mileage Rate.

  2. Enter the name of the rate and the value per mile/KM.

  3. Click Add a Mileage Rate again.

The new category now shows in your list of Mileage Rates.

📎NOTE: Once mileage rates are added, you can amend the Permissions of each user submitting expenses to reflect the rates they'll be using.


Create a new list of Mileage rates

You can use the Upload List function to upload a list of mileage rates via a CSV file.

⚠CAUTION: The upload replaces your existing list of Mileage rates. Don't use this function to add more mileage rates to your existing list, unless you already have the existing rates in your CSV file.

Upload list of Mileage Rates

  1. Click Upload list of Expense Categories.

  2. Click Sample CSV file of Mileage Rates for a file template to use.


  3. Once you have a file ready to upload click Select CSV to Upload, then browse to and select the CSV file.

Once complete, you now see your new list of Mileage Rates.


Adjust mileage rate amount

If you need to amend the amount of a mileage rate, you can either enter a new amount or click the up and down buttons.

Changes save automatically.


Hide a Mileage Rate

If you want a Mileage Rate to no longer appear as an option when selecting one for a mileage expense, but you don't want to delete it, you can 'Hide' it.

On the VISIBLE column, toggle it Off to hide it, and toggle it On to show it.


Delete a Mileage Rate

It's easy to delete a Mileage Rate from your list.

You can either click the rubbish bin icon to the right of one, or you can select multiple rates, then click the Delete button at the top.
