AutoEntry applies a standard usage policy to help you work without disruption and to allow you to get the most value from your AutoEntry subscription. An overdraft applies automatically when you're busy with the following conditions:
📎NOTE: The overage feature applies only to subscriptions taken with AutoEntry directly. This isn’t applicable to Sage Bundle subscriptions or trial users.
Negative balance
When you take out a subscription in AutoEntry, you automatically get a 200% overdraft.
📎NOTE: The overage feature is automatic and you can't switch it off.
If you use more credits than expected, you can go into a negative credit balance of up to 200% worth of your subscription level. This will show under your credit usage report.
For example: If you have a monthly subscription covering 50 credits, the system will let you use up to 100 extra credits for a total of 150 credits in a month.
📌TIP: Remember bank statements require 3 credits per page. If you upload a bank statement with hundreds of pages, this can quickly result in a negative balance.
Overage costs
We charge the extra credits used (overage) on a pro-rata basis, with an additional 10% fee. The overage cost will show in your next billing invoice.
For example: You have a monthly subscription for 50 credits at 16 euros.
If you used 80 extra credits in June, they’ll show in your bill in July as follows:
Monthly subscription for 50 credits - 16 euros
AutoEntry: Overage of 80 credits - 28.16 euros
Overage calculation:
Pro-rata = 80*16/50 = 25.6
Ten percent = 2.56
25.6+2.56= 28.16
📌TIP: Make sure you check your usage report regularly to anticipate any overdraft cost.
Overage limit
Once you reach your overage limit, then the account automatically freezes and you won't be able to upload new documents.
A yellow banner will display a credit balance warning in your homepage:
The overage limit will show under the Subscription and Billing tab:
When uploading documents, processing will freeze and will show as "credits couldn’t be deducted in the Processed tab in the Activity folder.
Add more credits
Whenever your reach the overage limit, you can add more credits by selecting the 'Purchase Credits in Bulk' option in the Subscription and Billing settings. This means you can purchase more credits and top up your existing subscription.
Alternatively, you can upgrade up to the next level of subscription.
📌TIP: Don't forget the higher subscriptions have cheaper rates per credit and could be more advantageous. You can upgrade and downgrade as many times as you need according to your usage. Remember to track and check your usage report to help you choose the plan that suits you best.
Clearing outstanding balances: The new credits will apply automatically to clear any negative balance. This will affect the balance automatically.
📎NOTE: Don't forget pending documents:
When you have documents stuck in processing due to insufficient credits, you may later forget those documents are pending until you add more credits.
When you subscribe or top-up, the system will automatically apply those credits to release the pending files in priority.
