An overview of the Chart of Accounts (COA) function in AccountsPrep.

To view the Chart of Accounts in AccountsPrep, click the Accounting tab, then click Chart of Accounts.

Here you can customise the client's Chart of Accounts in a number of ways:


Add Account

  1. Click Add Account.

  2. Complete the fields that appear.

  3. Click Save.

📎NOTE: You can't convert a bank account to a standard account.


Add Bank Account

A bank account operates differently from a standard account and you can create it under any Asset or Liability class.

Edit an Account

You can edit existing accounts to make changes to them.



Activate or deactivate an account

Under the Active column, click the toggle to either make it active or inactive. When you deactivate an account, it will no longer appear in the drop-down menus of any batch or journal entries.

📎NOTE: You can't de-activate a bank account or any account that's already been used in a batch in any period. If you see a green tick next to an account in the Balance column, this means there's been an entry in this account in the current period, and you can't deactivate it.



Change Class

Rather than edit accounts individually, you can select multiple accounts to change their class.

  1. Select the accounts.

  2. Click Change Class.

  3. Select the class you want to change them to.

  4. Click Save.


Delete Accounts

If you no longer require an account, you can delete it.

⚠CAUTION: Deleting removes the account(s) permanently. You will not be able to retrieve the settings of the deleted accounts.

Rather than delete an account, you can deactivate an account instead. They won’t appear when you’re working in batches, but you can always reactivate the account if you ever need to.

📎NOTE: You can't delete an account with entries in them. If you see a green tick next to an account in the Balance column, this means there's been an entry in this account in the current period.

  1. Select the account you want to delete. You can select multiple.

  2. Click Delete.

  3. You're shown a summary of the accounts you selected to delete.

  4. Click Delete to confirm the deletion.


Import Accounts

You can import additional accounts using a .csv file. This is a useful way to add multiple accounts at once, rather than adding them individually. You can also use an import template to amend multiple existing accounts.


Export Accounts

To export your Chart of Accounts, click Export. This downloads the Chart of Accounts as an Excel spreadsheet.
