You can set up rules to forward emails received from your suppliers directly from Outlook to AutoEntry upload folders. For this to work, you also need to make sure the antispam setting in Outlook isn’t off.

How to set up a rule from Outlook

To set up an automatic rule, follow Microsoft Help steps depending on your software version.

The basic steps are:

  1. Access the Rules settings page.

  2. Create a New Rule.

Choose Apply rule on messages I receive.

  3. Add the conditions:

In our context, select the provenance email and keywords:

    • from people or public group (choose your supplier email address)

    • with specific words in the subject (example "Invoice")

  4. Add the action:

In our context, choose Forward to people or public group.

  5. Enter your company's AutoEntry email address for the relevant folder.

Outbound Spam filter policies

If the emails aren’t coming through to AutoEntry, make sure the Auto-forwarding enabled setting is On.

You need to log in as an admin user to access the Outlook Outbound antispam settings page.

📎NOTE: Microsoft has changed the default auto-forwarding system. The default setting used to be on and is now off. For more information about these changes, visit Microsoft's own guidance.
