Back up and download your AutoEntry files

Back up your data in AutoEntry using manual exports or a support request for bulk download.

You can back up your data from AutoEntry in two ways.

  • Manual: Export and download files manually

  • Bulk: Request a ZIP file from support

Manual

You can export and download files manually. This includes all bills or invoices you uploaded to the system. You can do this separately from different folders.


Bulk download

You can’t bulk download files directly in the product. If you need a bulk download, contact support. Support can generate a ZIP file that includes your documents. When the ZIP file is ready, the billing user can access it from the Settings page and download it.


File format

When you bulk download documents from AutoEntry, the files download in their original upload format.

Examples

  • If you upload documents as JPG, they download as JPG

  • If you upload documents as PDF, they download as PDF

You can’t convert file types during bulk download, for example from JPG to PDF.


What's included

You can only request the download of entire folders.

Example: You can’t request the Archive folder within the Purchases invoices folder.

If you request purchase invoices, the download includes all files in the Purchases invoices folder.

This includes files from:

  • Inbox

  • Archive

  • Rejected

You can narrow the selection to a specific date range.


What isn’t included

You can’t download suppliers with their rules. You can download all processed items in an Excel file instead.


Request a bulk download

  1. Contact Support and request a bulk download.

  2. Enter the billing user email and company names.

  3. Enter the folders and date range.

Include:

  • Billing user email

  • Company Names

  • Folders, for example the Purchases or Expenses folder

  • Date Range in MM/YY format


Download the zip file

When the download is complete, the billing user receives a confirmation email. The email confirms that the file is ready.

The email also includes a link to the Invoice Downloads tab. The download link stays available for seven days.

If the link expires, you need to regenerate the ZIP file from AutoEntry or contact support for help.

Note:

  • Download time depends on the number of files in the request

  • Save the files to your local system before the link expires
