If your company is not integrated with accounting software, or you just prefer to have a copy of your extracted invoice data saved to your PC, this article will go through the steps required to download them.

How to download your extracted invoice data

  1. Select the file(s) you wish to download by ticking the checkbox to the left of each one. Once ticked, an option to Download will appear at the top of the list. Click this and select what format you want to save it as.

  2. To download all invoices in the Inbox or Archived folders, click to select All from the main checkbox above the first invoice.

  3. AutoEntry will then only select all invoices shown on the first page of the Inbox/Archive. If is more than 1 page of invoices, click on the link in the yellow banner across the top of the page to select all invoices over and above the first page.

  4. You will then see a confirmation notice, and all invoices in the folder will then be included in the download!

Downloading invoice data for non-integrated companies

If you are using AutoEntry for simple data extraction and do not plan on integrating your company with an accounting package, AutoEntry offers the Generic Excel download format with a Shared Image Link.

This allows AutoEntry and non-AutoEntry users to see the invoice image via the link available in the first column of the downloaded Generic Excel format.

To download your extracted invoice data as a Generic Excel file, please do the following:

  1. Select the file(s) you wish to download by ticking the checkbox to the left of each one.

  2. Once ticked, an option to Download will appear at the top of the list. Click this and select Generic Excel.

  3. The download will save to your PC automatically.

Shared Links setting
The availability to see the image link will depend on the Shared Links setting within your Company Settings.

If the setting is set to Private, only AutoEntry users will be able to view the document via the link on the Generic Excel download.

If the setting is set to Public, AutoEntry and non-AutoEntry users will be able to view the document via the link on the Generic Excel download.

Please note

If your company is integrated with an accounting package, while it is possible to download an Excel file containing extracted data, links to invoice images will not be included.
