How to upload Invoices, supplier statements and expenses via email.

When you create a company in AutoEntry, you're given four email addresses - one each for the:

  • Purchases folder

  • Supplier Statements folder

  • Sales folder

  • Expense Reports folder

The four email addresses are based on the company name entered, but you can amend them if you want.

📎NOTE: You can't upload Bank Statements via email.


Find your upload email addresses

  1. From your company homepage, click Company Settings.

  2. Click Mailbox Settings.

    Here you see the email address for each corresponding folder.

    📌TIP: Click Copy to easily copy the address to paste into an email later on.


Edit upload email address

If you need to change an email address that you use to upload documents via email:

  1. Go to your Mailbox Settings.

  2. Edit the relevant email address.

  3. Click Save Changes.

    Now when you email documents to that email address, they upload to your e.g. purchases folder.


Processing Email Attachments as Single Items

In your Company Settings in the Mailbox Preferences section, you can turn on the feature so that each separate email attachments are processed as a single item.

When enabled AutoEntry won't assess the attached files in the email and only processes the first page of that file. Any additional pages in the file aren't extracted but do remain as part of the processed page for reference.

📌TIP: An example of when this feature would be useful is for submitting an expense style invoice where the claim is on the first page in the file and the subsequent pages are the multiple receipts that made up the claim.

These receipts aren't processed by AutoEntry but would be kept with the claim page as a reference to the claim.


Additional notes

  • When you upload a document via email, AutoEntry only extracts the data if it's either contained in the body of the email or if the file is attached to the email. No data can be extracted if the file is contained within a link in the body of the email.

  • There's a 30MB limit for the total size of the email when using the email feature. There's no limit to the number of files attached as long as they don't reach the 30MB limit combined

  • AutoEntry is programmed to automatically ignore the signature contained in forwarded emails when uploaded. However, if the signature contains an image larger than 20KB, our system will automatically attempt to extract it.

    📌TIP: We recommend that you forward documents without a signature or ensure that the images are less than 20KB.
