The File Management folder gives you the option to upload and review files without using credit before you send them for processing. This is an alternative to the Upload document feature where the file is extracted automatically.
Once you've reviewed your files, you can use the Submit button to send them to the relevant folder for processing. This will then use credits to extract the data.
Preliminary step
Upload your files to the File management folder and make sure you assign a File Type.
The type will set the destination folder. (Purchases, Sales, Bank Statements etc.).
Submitting
Once you've assigned a file type, the submit option will be available.
Individual files
Access the relevant folder within File management.
Click the Submit button to the right.
📎NOTE: If you haven't selected a type, the button will not show.
The Submit settings window opens.
Select whether you want to capture line items or not.
Selecting this option will extract all the line items requiring two credits per invoice.
Click Submit to confirm.
Multiple files
You can select multiple files from within a folder.
Access the relevant folder within File management.
Tick the boxes to select the files.
Click Actions then Submit.
The Submit settings window opens.
Select whether you want to capture line items or not.
Selecting this option will extract all the line items requiring two credits per invoice.
Click Submit to confirm.
📎NOTE : If you haven't selected the file type, the following message will occur when you try to submit from the Actions button.
Warning - You have included files whose file type is set as Generic (Unknown), you must set the file type before submitting for processing.
Next steps
The extraction will start automatically as soon as you submit.
You can check the extraction progress from the Activity page within the destination folder.
Once the file is ready, it will move to the Inbox.
Regular processing times apply once you submit these documents.
