Upload documents from the mobile app

How to upload documents to AutoEntry using the mobile app.

You can use the AutoEntry mobile app to upload invoices and receipts to your AutoEntry company directly from your phone.

You can use the app to either take a photo of a document, or select existing images from your phone's library.

📌TIP: Make sure to check and download the latest version.


Upload a document

  1. Log in to the mobile app. It will automatically show you the last folder you uploaded to.

  2. If you need to change the company and inbox, click the company name. You can then select a different company and/or a different folder.

    For example, Purchases, Sales or Expenses.

  3. Once you're in the correct folder, click to Add your document:

    • Add a receipt (Purchases)

    • Add an invoice (Sales)

    • Add (Expenses)

  4. To upload documents, you can either take a photo directly or select from your gallery:

    • Capture directly from the app (default setting) - It will use the auto-capture setting by default, but you can also select the manual option

      📎NOTE: The auto capture will automatically detect the edges and apply the best settings, however make sure the image is clear. You can review and edit the image before you submit it.

    • Select images from your photo gallery

      📌TIP: You can now select and upload up to 50 files. If you’re still limited to 15, make sure to download the latest app update.

  5. After you select or scan your picture, you can edit the image to enhance or crop it from the various image setting options.

    📌TIP: Make sure you're happy with the image quality before you click Next to submit it into AutoEntry. Once you've submitted an image, you can't edit it. AutoEntry will reject images with poor resolutions. For more information, check our Upload format article.

  6. You can also add more images to your selection.

  7. When you’re ready to submit the images, click Next.

  8. If you've selected multiple files, you'll have the option to process as:

    • Separate documents: Upload the selection as separate documents

    • One document: Combine them into one

    📌TIP: Typically, use the 'One document' option for an invoice with multiple pages.

  9. If you select One document, you can add other details such as a description, select relevant categories, departments, codes, etc.

    📎NOTE: If you select Separate documents you won't have these options, because they may differ. You can add these details to them later on the AutoEntry website.

  10. Tap Submit to upload your selection to your AutoEntry company. This will start the upload and extraction process.


Track your uploads

After you select and submit your documents, they'll show under your Upload Activity within the folder. You can see if they're still uploading, cancelled or processing.

📌TIP: Since April 25 you don't need to wait for the upload to complete to be able to use the app. You can now keep using the app while the upload is in progress. However, make sure not to close the app before the upload completes. Once the upload is complete, you can close the app, even if its still processing.

Once processed it will move out of the Upload activity view. It will show either as Processed or Rejected.

When you log in via the web browser, you can also see which documents you uploaded via the mobile app or via the browser.
