Set up 2-Step Verification

How to set up and activate multi-factor authentication (MFA) in AutoEntry.

If you use the AutoEntry login method to sign in, you can enable multi-factor (2-step) authentication from within your user Profile.

📎NOTE: Two-Step verification has different names:

  • Two-factor authentication (2FA)

  • 2-step authentication

  • Double authentication

  • Multi-factor authentication (MFA)

📎NOTE: If you integrate your account with Xero and use the AutoEntry login, you must enable multi-factor (2-step) authentication, effective from December 2025. A message will pop up inviting you to set this up. You can skip up to three times, but make sure not to delay as you'll only have four login attempts to configure it. You can ignore this if you've already set this up.

Once enabled, you'll need to enter a verification code after your email address and password to log in to AutoEntry.

This double verification adds an extra layer of protection to your account, making it much harder for unauthorised access.

📎NOTE: The 2-step verification feature in the AutoEntry Profile is only available to users with the AutoEntry login. If you use the Sign In with Sage option, you need to set up the double authentication via Sage ID management instead.


How to set up 2-step Authentication

  1. Log in to AutoEntry.

  2. Go to your user Profile.

  3. Click the Security tab and set up your security questions.

    • Confirm your Password

    • Select four questions of your choice from the dropdown lists, and provide the answer to each one of them

    • If you've already set up security questions before, you can skip this step


  4. Click the 2-Step verification tab to set up the authentication method.

    If you haven't set up the security questions yet, you'll have a link to set this up first.

    The next steps depend on how you want to authenticate.

    You can either use an app on a smartphone (Option A), or receive a code via SMS text message (Option B).

    📎NOTE: Make sure you enable only one of the two options.
    If you've already set up SMS verification, disable it before setting up mobile app authentication — or vice versa.

    If SMS verification is not turned OFF, you will not be able to scan the QR code to set up the app.

Option A - Set up a mobile authenticator app (Recommended)

If you use a smartphone, you can use a free authenticator application to manage and set up 2-step verification.

  1. Download and install a mobile authenticator, if you don't have one already.

    Example: Google or Microsoft Authenticator.

  2. Create an account in the app.

    1. As an example, from the Microsoft Authenticator menu, Add Account.

    2. Select Work or School Account.

    3. A window will pop up ready to scan a QR code which will create automatically the account linking to AutoEntry .

  3. Go back to the AutoEntry 2-step verification tab.

    1. Next to Use Mobile Authenticator App, switch the toggle to ON.

    2. Enter your current AutoEntry password.

    3. Click Save SMS Changes.

    4. A QR code appears.

  4. Go back to your authenticator app and Scan the QR code showing in AutoEntry.


    This will create the authenticator account for AutoEntry in your app automatically.

    The app is ready and will generate a new code every 30 seconds.

  5. From your AutoEntry account:

    1. Enter the verification code displayed in the Authenticator app.

    2. Click Save SMS Changes.

    3. This will finalise your set up. The next time you log in, you'll need to use the temporary code showing in the app.

  6. The next step is to save your Recovery code somewhere other than your phone. You will need this if you lose access to your phone.

Option B - Set up SMS verification

  1. Go to your AutoEntry Profile > 2-step verification tab.

  2. Next to Use SMS Verification, click the toggle to ON.

  3. Enter your current password.

  4. Enter your phone number.

  5. Click Save SMS Changes.

  6. Enter the Verification Code sent to that number.

    This will finalise your set up.

    The next time you log in, you'll receive a new code by text.

  7. The next step is to save your Recovery code somewhere other than your phone. You will need this if you lose access to your phone.

📌TIP: If you're having any issues with SMS verification, we recommend using a mobile app authenticator. The mobile app is more reliable as there can be delays with SMS messages and cause synchronisation issues.


Log in with the 2-step authentication

Once set up, you'll need to enter the verification code provided after your email and password.

If you have set up the authentication via the App

Go to the app to check the code displayed there. Make sure to enter the code promptly as it is temporary and changes every 30 seconds.

If you have set up the authentication via SMS

Use the code received in your phone messages. You have a few minutes to enter this code.

If you ever don't have access to your authenticator app, you can click the link to Enter the Recovery Code instead.


Lost your recovery code?

If you can login to your account and you don't know what your recovery code is, you can generate a new one.

If you can't login to your account, you need to contact support to reset this for you. This is where you'll need to use your security questions.


Considerations

Setting up double authentication implies having a personal phone and a personal login. You can't share credentials among several users.

You can invite as many users as you need. Each user can then set up their own login and phone details.
