Issues uploading documents

How to troubleshoot and resolve issues when trying to upload documents to AutoEntry.

After you upload a document, such as an invoice, it doesn't automatically go to the Inbox. If you think a document wasn't uploaded successfully, you need to check the file status in the Activity subfolder.


Not enough credit?

It's possible you don't have enough credits to upload a document. If not, the system won't release the document. The status will show Credits couldn’t be deducted in the Processed Items folder.


Check the Activity folder

After you upload a document, it will automatically show in the Activity subfolder. You need to check its status in both tabs to see if it’s still processing or if there was any rejection.

What is the status in the Uploaded Items folder?

After you upload a document, it will first show in the Uploaded Items tab in the Activity folder before it shows under Processed Items.

From this folder, you can check its extraction status:

  • Queued for processing

  • Sent for processing

  • File already uploaded

  • Ready

If it's Queued for processing or Sent for processing, wait for the extraction to complete. In some cases, processing can take more time depending on the file type. For instance, bank statements can take up to 4 hours to process.

If the file status is File already uploaded, it will detect a duplicate and you need to confirm whether you want to process it again.

If the file is Ready, you need to check the Processed Items folder (see below). The extraction doesn't always complete through. The system may have rejected the file or you may need to add more credits to release the file.

What is the file status in the Processed Items folder?

After processing, the file will show in the Processed folder, but that doesn't mean the extraction was successful. This could be for the following reasons:

Do you have enough credit?

It's possible you don't have enough credits to upload a document. If not, the system won't release the document. The status will show Credits couldn’t be deducted. In this case, make sure you add enough credits.

Was the file rejected?

Once the file is Ready after upload, it can also show in the Processed items folder with the status Rejected. You’ll find the file in the Rejected tab.

There will be an explanation for the rejection. The format or layout of the file might not be suitable for extraction.


The file isn’t in the Activity folder

Are you using an old bookmark?

If nothing happens when you select and upload a document, this can occur if you're using an old bookmark linking to an old upload page. Make sure you connect to your account and access the correct upload page.

Did you upload the document to the wrong folder?

You possibly uploaded the file to the wrong folder. You can check the main Activity page for all the folders from the Activity menu on the left. You can check the Uploaded Items tab under this section and identify in which folder you uploaded the file.

Once the file is in the Inbox, you can move it to the correct folder.

Did you send the documents by email?

Did you use the correct email address for the correct company? Make sure you follow the guidelines when you email documents to AutoEntry.
