Sales E-invoicing flow

How to send and manage electronic sales invoices in AutoEntry (France).

INTRODUCTION

If a business creates invoices manually without the use of an accounting software, (example: MS Word) they’ll be able to use AutoEntry to digitise the invoices and send them electronically to their customers. This new feature will allow users to remain compliant with the e-invoicing legislation in France.

Flow overview:

  1. E-invoicing network registration (Sage PA).

  2. Extraction within AutoEntry.

  3. Sending the e-invoice.

  4. Validation, dispute or refusal by the customer.

  5. Confirmation of payment.

  6. Publication to Géneration Expert (optional) and archiving.


PRELIMINARY

AutoEntry via Sage for Accountants France

The e-invoicing functionality is available to accountants practices who created an AutoEntry account via Sage for Accountants (SFA). This is available only to SFA users in France.

E-invoicing registration

The practice needs to register to the Sage Platform (Sage PA) to activate the e-invoicing feature for their client.

📎NOTE: Clients added as users from the People page won't be able to access the e-invoicing settings, even if they have the Company settings permission. Only users launching AutoEntry from SFA will be able to access this tab.

Extraction

To proceed with the extraction, upload the document to the Sales folder.

📌TIP: Before you select the file, make sure it complies with the required format to avoid rejection.

Select the Line Item option to extract the details of all the lines in the invoice.

Once the invoice is Ready after extraction, it will show in the Inbox > Uploaded Tab.

📌TIP: You can monitor the extraction's status from the Activity tab.


MANAGE E-INVOICES

To manage Sales electronic invoices, go to the Sales folder and click Inbox. The Inbox contains two tabs:

  • The Uploaded tab to manage the invoices before sending them

  • The E-invoices sent tab to manage the invoices sent

Uploaded tab

The Uploaded tab allows you to:

  • View the newly uploaded invoice

  • Check the extraction and any error. (Check the triangle error)

  • Reject or archive the document if you don't want to process it.

  • Select the Customer, and Send the e-invoice

  • Publish (if integrated with GE) or Approve the invoice (if not integrated).

📌TIP: If you publish or accept at this stage, you won't be able to send the e-invoice. Send the invoice first, then you'll be able to accept / publish after the customer validates and pay.

If you've accepted or published too early by mistake, you can un-publish to enable the option to send electronically.

E-invoices sent tab

The e-invoices sent tab allows you to manage invoices after you've sent them electronically.

  1. View the e-invoicing status:

    You can see if the invoice has landed in the customer's system successfully or not.

  2. Once the invoice is available to the customer (Made available > Received), they can approve, refuse or dispute the invoice. There’s no action available on this end until they do.

  3. Once approved by the buyer and paid, you can mark the invoice as Payment received.

  4. Once the payment is confirmed, you can:

    • Approve or Publish the invoice to Generation Expert

    • Archive the invoice to move it out from the Inbox

NEXT STEPS

Once the e-invoicing cycle is complete, you still need to finish processing the files within AutoEntry. The practice or the client can share the tasks depending on the service arrangement.

Publication

To be able to publish an invoice, it's necessary to allocate the categories in the invoice. The categories will depend on the integration with Génération Expert.

📎NOTE: If the account isn't connected with GE, the option to Approve the invoice will replace the Publish button to validate the invoice internally. Check the integration status.

Archiving

The archive feature allows you to move invoices from the Inbox to the Archived tab and clear the processed documents from the Inbox.

📌TIP: You can activate the automatic archive to trigger after publication. However, it's also possible to publish an invoice from the Archive folder. This can be useful to separate the tasks between the practice and the client. The client can manage the invoices from the Inbox tab and the practice can manage the codification and publication from the Archive tab.
